Main Library - Room Reservation Policy
The Wicomico Public Library (WPL) has meeting rooms for cultural, civic and informal educational purposes. There is no charge for nonprofit groups for use of meeting rooms, if there is no admission charge. Nonprofit groups or organizations which charge admission for programs will be charged a flat fee of $30 for use during Library hours. Businesses, banks, corporations, and other for-profit organizations may use the meeting rooms during regular Library hours for a fee. There is a minimum fee of $30.00 for up to 2 hours. Each additional half hour is $7.50. Payment for the meeting rooms must be received prior to gaining access to the meeting rooms. Due to the high volume of meeting room requests, we would appreciate advanced noticed of any cancellations. Meeting rooms are typically reserved for use during regular Library hours; however, we can allow early access to the meeting rooms. Early access to meeting rooms must be approved by a Library staff member.
To assure fair access to all, we request that you abide by the following rules:
- Reservations must be made by an adult and must be confirmed by a Library staff member. The Library will need notice of cancellations.
- One organization may use the meeting room facilities no more than 12 times per year and reservations may be made no more than 6 months in advance. Attendance at authorized meetings may not exceed the room capacities.
- The group or organization will be responsible for the setup and arrangement of the meeting room for their meeting.
- Groups of children or teenagers must be supervised by one adult for every ten children.
- Smoking and the use of alcoholic beverages are not permitted anywhere on Library premises, including the restrooms. No food or drink may be carried out of the meeting rooms into other areas of the Library.
- Meeting Room #1, which has a kitchenette with stove, sink and refrigerator, is the preferred location for meetings which will include refreshments. If Meeting Room # 1 is unavailable, an exception may be made to serve simple refreshments in other meeting rooms.
- The kitchenette facility must be left clean. Large waste cans and plastic bags, as well as disposal of bagged refuse, will be provided by the Library.
- Any display materials must be removed and areas must be left free of litter. If there is damage to any room that will necessitate professional cleaning, the cost will be passed onto the organization or group that used the room.
- If it is necessary to borrow Library equipment, it must be requested on the online meeting room reservation form. If Library equipment is used, the person who booked the equipment will be held responsible for any damages to the equipment or loss of the equipment.
- No group or organization may list the address of the Wicomico Public Library as its mailing address.
Meeting rooms will be cleared and locked 15 minutes before the Library closes.

Authorization to use WPL facilities does not reflect endorsement by the WPL of the general or particular program, position, or purpose of any persons or organizations. WPL may preclude any use of Library facilities that may interfere with regular use of the Library. Failure to comply with WPL directives outlined in this policy may result in canceling future use.
